Thank you for choosing to stay with us at Arrowhead Lodge. Below are our policies and procedures; read them carefully. As our guest, by reading and signing your lodge registration card at check-in or by booking a reservation on our website, you are agreeing to abide by our lodge policies and procedures.  Failure to comply may result in being asked to leave without a refund.

CHECK-IN
Check-in time is any time after 3 PM (not guaranteed due to high volume of occupancy). Guests will be required to present a valid credit/debit card upon check-in along with a valid form of identification (acceptable forms include a driver’s license, passport, and/or a proof of age card). Arrowhead Lodge will make every effort to honor special requests upon your arrival.  The lodge reserves all rights to refuse service to any guest of the lodge who does not follow or comply with lodge policies.  For check-ins after 6 PM, please call (575)754-2459 to make arrangements for late check-in.

EARLY ARRIVAL
We will be delighted to accommodate early arrival check-in prior to 3 PM based upon availability.

CHECK-OUT
Check-out is at 10 AM. If you require a later check-out, please contact us before 10 AM on the day of departure, and we will do our best to accommodate your request. A charge may apply, depending on availability.  Refunds will not be given for early departures or shortened stays.

AGE REQUIREMENT
Guests must be 21 years of age or older to check-in without a parent or legal guardian.

CREDIT CARD POLICY
All major credit cards accepted (American Express, Discover, MasterCard and Visa) with valid picture ID.  Arrowhead Lodge credit card transaction(s) may be listed as The Bull Holdings Group DBA Arrowhead Lodge, Red River Real Estate, or M Vacation Properties on your credit card statement. 

RELATIONSHIP BETWEEN ARROWHEAD LODGE & GUEST
Guest understands and acknowledges that he/she is a licensee of the owners of Arrowhead Lodge.  Guest does not have any property rights or interest in the real estate and he/she is not a tenant of the accommodation.  Guest does not have exclusive possession of the accommodation nor may he/she move, alter or remove furnishings.  Arrowhead Lodge owners shall always be deemed to be in full and absolute possession of the whole of the lodge premises. Arrowhead Lodge reserves the right to refuse service to anyone.

USE OF THE PREMISES
It is agreed that guest(s) will conduct him/herself in a respectable manner and will not cause any nuisance or annoyance within the lodge premises.  Guest(s) agrees to leave the premises as they found them, generally clean and undamaged.  Arrowhead Lodge is not responsible for the loss of personal belongings or valuables of the guest(s).  By accepting the reservation and occupying the property, it is agreed that guest(s) is expressly assuming risk of any harm arising from their use of its premises or others whom they invite to use its premises and agree to indemnify and hold harmless Arrowhead Lodge, its management, independent contractors, and all employees for any accidents, injuries or illnesses that occur while guest(s) and their visitors are on the premises.

SMOKING POLICY
All rooms at Arrowhead Lodge are non-smoking. Smoking is only permitted in designated areas. Guests that violate the no smoking in room policy will be charged a $400 fee to credit card on file.

PET POLICY
Arrowhead Lodge only allows dogs on the property at a fee of $10/day with a maximum of 2 dogs per room.  Guests traveling with their pets must notify Arrowhead Lodge upon making their reservation.  Pets must be current on rabies and other vaccinations.  Pets must be on a leash at all times when outside of guest’s room on the premises.  Guests are required to pick up after their pets while on the property.  Arrowhead Lodge has 2 pet stations as an added convenience to assist responsible pet owners.   Pets cannot be left unattended in the guest’s room or automobile for unreasonable lengths of time.  Pets may never be left unattended outside the guest’s room.  Pets that disturb other guests with excessive barking or aggressive behavior may result in the guest having to make other arrangements for their pet or guest may be asked to vacate the property with or without a refund.  Pets must not cause damage to the premises, equipment, or furnishings.  Any damage to the premises, equipment, or furnishings will result in guest’s credit card being charged current retail replacement value for damaged property.  A $50 cleaning fee will be charged if room is left with excessive amounts of pet hair.  Guests that fail to inform Arrowhead Lodge of their pet(s) will be charged $100 per pet to credit card on file.

GUEST RESPONSIBILITIES
Guest are required to wash their dirty dishes and bag all trash in their room. A $25 fee will be charged to credit card on file for rooms left with dirty dishes and/or trash not properly bagged.

KEY RETURN
Leave key(s) in room at check-out or return to office.  Lodge staff will check rooms and collect keys after designated check-out time. A minimum of $25.00 will be charged for re-keying or replacing lock if keys are not left or returned at time of check-out.

DAMAGE / THEFT
Guests are solely responsible for any loss or damage to the lodge property, accidental injury to any person, or loss sustained by any person that is caused by themselves, their guests or any person for whom they are responsible for on and off the premises.  It is the guest’s responsibility to notify the lodge upon arrival of any existing problems or damages to the premises.

DAMAGE DEPOSIT
Guest agrees to leave a credit card on file at time of check-in as a security deposit for any damage to the property and its contents or any missing items from room during their stay.  Any damage to the premises, equipment, or furnishings and/or missing items will result in guest’s credit card being charged current retail replacement value for said damaged property or missing items.  Guest authorizes Arrowhead Lodge to charge their credit card on file for such damages or missing items. If credit card on file will not process for any reason, then guest must present another form of payment to cover damages or additional fees.  Any disputes that arise that may need to be settled in court, guest is responsible for paying any and all costs associated with court proceedings.  Damage deposit policy is in place to protect the property and its contents.

RIGHT OF ACCESS
Arrowhead Lodge reserves the right to access the property at any time for purposes of repair and inspection as management deems necessary.  Management will attempt to notify guests in a reasonable manner when they shall exercise this right of access.

NOISE DISTURBANCE
We expect each of our guests to be able to enjoy a quiet and peaceful environment while staying with us.  In the event of a disturbance, one warning will be given to reduce noise.  If this warning is not followed, the guest will forfeit all fees and must leave the lodge immediately.

ALCOHOLIC BEVERAGES & ILLEGAL DRUGS
Consumption of alcoholic beverages in or on the premises is limited to persons of legal age.  Excessive drinking of alcohol and illegal drug use is prohibited.  Guests that violate this policy will be required to vacate the premises without a refund.

WEATHER / ACTS OF NATURE / ROAD CONDITIONS
No refunds will be given for inclement weather, acts of nature, and/or poor road conditions during guest’s stay.

FALSIFIED RESERVATIONS
Any reservation obtained under false pretense will be subject to forfeiture of advance payment, deposit, and/or rental money, and the guest will not be permitted to check-in.

CANCELLATION POLICY
If reservation is cancelled and we are able to rebook the room for the same exact dates reserved, 80% of the deposit will be refunded. If we are unable to rebook the room, we keep 100% of the deposit.  Qualifying refunds will be issued no later than 30 days from departure date.  Paid deposits and fees including balances paid in full may not be applied towards other dates. 
Paid deposits and fees including balances paid in full are NON-REFUNDABLE for holiday and peak reservations.  Holiday and peak reservations include but not limited to Spring Break, Memorial Day Weekend, 4th of July Holiday, Labor Day Weekend, Christmas Holiday and New Year’s Holiday.  Reservation cancellation requests may be sent by email to reservations@mvacationproperties.com or by phone 575-754-2459. Reservation cancellations will be confirmed by
email.     

RESERVATIONS DEPOSIT
A 50% deposit is due at the time of your reservation including taxes and pet fees.  Remaining balance is due upon arrival except for reservations during Christmas Holiday, New Year’s Holiday, and Spring Break. All reservations during Christmas and New Year’s Holidays must be paid in full by November 1st.  All reservations during Spring Break must be paid in full by February 1st.
